Location

This role is based in Sacramento, California at our headquarters in Old Sacramento. But we can assure you, Sacramento won't be the only place you'll work.

We host frequent trips during the year to bring our whole team together for extended periods of face-to-face time to build deeper relationships.  Some examples of trips include our domestic excursions to San Diego, Newport Beach, and Lake Tahoe.

About the Job

The Sales Administrative Assistant role is critical to the success of the Sales Team. Reporting to the Senior Sales Administrator, as the Sales Administrative Assistant you will regularly use your attention to detail and organizational skills to coordinate and communicate information at a fast pace.

You will assure reports, leads and deadlines are accurately tracked and clearly communicated to the proper team members as needed. Your ability to be resourceful and a self-starter will be key to assisting this team to operate smoothly.

  • Create systems of communication and organized processes where needed
  • Become proficient in HubSpot, Google Suite, Excel, Slack and other Sales Systems and Technologies
  • Maintain a keen attention to detail
  • Exhibit tact and emotional intelligence when communicating with team members, partners, vendors, etc

Responsibilities

  • Coordinating
    This person will be responsible for helping to schedule, coordinate and book the logistics for various trips, events and conferences our Sales Team attends each year. They will organize internal events and experiences as directed by the Senior Sales Administrator.
  • Data Entry and Analysis
    They will input data into spreadsheets or databases, maintain accurate records, and generate reports as needed. They may also be tasked with analyzing data and providing insights to support decision-making processes.
  • Sales System Management
    They will assist the Senior Sales administrator in managing our sales operational systems for the sales teams and cross teams not limited to, Hubspot, Docusign, Builtwith, Apollo, Krisp, Asana, Calendly, zoom phone and Clari.
  • Ordering / Shipping
    They will be responsible to assist the Senior sales administrator in managing shipping and printing accounts needed and used to accomplish sales team functions. They will additionally be responsible to create shipments per the senior sales administrators direction.
  • Office Management
    They will support the senior administrator in overseeing office operations, including procurement of supplies, equipment maintenance, and ensuring a clean and organized workspace. Additionally, will help manage and keep the sales travel storage clean, organized and stocked.
  • File Management
    They will organize and maintain both physical and digital files, ensuring documents are easily accessible and properly archived.
  • Problem-Solving and Decision Making
    They will proactively identify challenges or issues and offer solutions or escalate them to the Senior Sales Administrator when necessary.

  • Excellent time management and organizational skills
  • Proven track record of managing many projects and information while maintaining a sharp attention to details
  • Great written and verbal communication skills
  • Ability to multitask and work well under pressure
  • Resourceful and a proactive problem solver
  • Self-motivated work ethic – able to manage time, schedule and responsibilities
  • Past experience with administrative work
